I met friends over the world, sharing cultural differences. We explored the marvellous country Turkey, speaking Turkish to the locals. I found my interest in economics with Prof. Meltem’s excellent lecturing! I tried snowboarding for the first time and fell in love with it.Never had I thought that Turkish people are so diverse and so so hospitable and helpful!The campus was like a small warm community with sweet pupils and faculty stuff!

2018-2019 Mevlana Exchange Program OUTGOING Grant List

Number of METU students who will receive Mevlana grant for the 2018-2019 Academic Year is determined by the Turkish Higher Education Council (YÖK). METU ICO does not make the grant allocation.

For the official announcement sent by YÖK and the monthly grants, please see the attached document.

The students who would like to withdraw from the Mevlana program are required to inform ICO Advisor (hazaly@metu.edu.tr) by 15.06.2018. 10 points will be deducted from future Mevlana application points of the students who withdraw after this deadline.

Zero-Grant Participation: The students, who were not allocated scholarship, should contact hazaly@metu.edu.tr by 15.06.2018. According to the type of agreement and quota indicated in the agreement, the participation status of zero-grant students will be determined.

2- Semester Preference: If you have not chosen your semester already, please inform your ICO Advisor (hazaly@metu.edu.tr) by 15.06.2018

3- Nomination: ICO advisor informs the host institution regarding your Exchange. When nomination is complete, students will be informed. After nomination, students are informed about the requirements of application. It is important that students do not establish contact with the host institution prior to nomination.

4- Application: The nominated students apply to the host institution according to the partner university’s required documents, methods (post or e-mail etc.), and deadlines. Each university requires different documents and methods, and gives different deadlines. Documents required for application can be found on the partner university’s website.

5- Acceptance: If the student meets the partner university’s requirements and completed the application before the deadline, they receive “letter of acceptance"

     a. After Acceptance

           i. Visa (if necessary): The students should contact the host institution and the consulate/embassy to learn about the requirements and documents for visa. If visa support document is needed, ICO advisor will prepare this document (the student should inform their ICO advisor prior to the visa appointment, since the preparation of the document takes up to 3-4 days)

           ii. Leave of Absence: All students should have a leave of absence in order to be exempt from their departments during the semester abroad. Letter of acceptance, Academic Confirmation Form (can be found here), and petition for leave of absence should be submitted to the department. Each department and faculty may have different requirements for leave of absence. Without this document, it is not possible for the students to sign the grant contract

           iii. Leave from Dormitories: Students who accommodate at campus dormitories need to apply to Directorate of Dormitories with a petition (can be found here) to reserve the right to stay in dormitories before starting their mobility. Student who do not stay in dormitories do not need to follow these procedures.

           iv. Learning Protocol: This is a tentative document that indicates the courses the student is planning to attend to at the host institution. Students should fill this form (can be found here), and obtain the first two signatures from the department, and submit it to their ICO advisor for the third signature. Afterwards, to obtain the fourth and fifth signature, student will receive the document back. Without LP document, it is not possible for the students to sign the grant contract. If changes occur in terms of the courses that student actually takes, another document (LP-Changes) will be prepared.

           v. Compulsory Health Insurance: All students should have a health insurance that is valid in the host institution’s country, and for the whole period of their stay. Without this document, it is not possible for the students to sign the grant contract.

           vi. Grant Contract: After all the above-mentioned documents are completed, student prepares the grant contract and brings it to the ICO advisor. The 80% of the total payment is made prior to departure. The remaining 20% is made after the mobility is complete and the transcript arrives.

6- During Mobility Procedures:

      a. Learning Protocole-Changes: This is an important document, which allows the student to show the changes that took place in the original Learning Protocole (LP) that was prepared before the mobility. If there are differences between the original LP and the actual courses that the student took at the host institution, the student should make LPC. Only (a) the courses that were not written in the original LP (b) the ones that are deleted from it should be indicated. If there are NO differences between LP and courses, there is no need to do it.

7- Return Procedures:

     a. Certificate of attendance: Please download it from the following link and receive the necessary signatures. This document should be either sent to the ICO advisor directly via e-mail by the home institution OR as the original hard copy.

     b. Recognition/Transfer of courses: After the transcript is issued and is sent to ICO by the host institution, the AOF-Dönüş should be prepared. (Can be found here) Original transcript and AOF-Dönüş should be given to the department secretary, and one copy of each should be given to ICO advisor.

     c. Reports: Nihai Rapor ve Öğrenci Bilgi Formu should be filled and sent to the ICO advisor after the mobility is over.

     d. Passport Stamps: The copies of the pages which your exit and entrance (from and to Turkey) should be given to the ICO advisor.

     e. 20% payment: Payment is made according to the calculation below:

20% of the total amount * (ECTS passed/ECTS taken)

2017-2018 Erasmus+ European Traineeship Applications

The applications of Erasmus+ European Traineeship will be held between 06.02.2018 and 20.02.2018. The details of the application and last years’ statistics can be found below.

 

IMPORTANT

Please bear in mind that:

-Traineeship activity cannot be used to carry out academic and scientific studies such as research assignments or analysis studies within the scope of a specific curriculum. Activities conducted by students in order to complete or support their own scientific studies like scientific researches and projects are not accepted as internship activities. In order for these activities to be accepted as traineeship activities, they should be carried out as professional activities that are economically viable in the related sector, not in academic studies.

-The following organizations are not eligible for Erasmus + traineeship activity:

  • EU institutions and agencies (ec.europa.eu/institutions/index_en.htm)
  • National Agencies and similar institutions carrying out EU programs

 -Make sure that traineeship activity will be recognized by their departments upon successfully completion.

 

Who can apply?

-Applicants must be registered at METU as full-degree students at the time of application.

-They must also be able to continue studies at the same level (undergraduate, masters, PhD) at METU the following year, i.e. the year of the exchange.

-Conditional Program (Bilimsel Hazırlık) students and students studying in the Department of Basic English are not eligible to apply.

 

Please note that:

Students can participate in the Erasmus Traineeship program during their studies at the same level (undergraduate students can participate in the program during their undergraduate studies, master's students can participate in the program during their master's studies, PhD students can participate in the program during their PhD studies).

 

Start and End Dates of the Application

Application period is 06.02.2018 – 20.02.2018.

 

How to Apply?

Students apply online via METU Online Application System: https://application.metu.edu.tr/?lang=EN

 

During the online applications, applicants will be asked to submit an acceptance letter to the system. Late submissions will not be accepted. 

 

 The acceptance letters should be signed, stamped and written on a headed paper and include:

 

- dates & subject of the traineeship (The beginning date can be April 10, 2018 at earliest. The end date can not be later than May 31, 2019.) 

- name of the institution where the traineeship will take place

- name and function of the person who signs the letter

In the acceptance letters, it should be specified that the applicants will work as a trainee rather than a researcher. Those letters including such notions like “research” or “scientific study” will not be accepted.

Minimum CGPA Requirement for Application

Undergraduate students who are considering to apply for Erasmus program should have at least 2, 5 CGPA and graduate students should have at least 3, 0 CGPA over 4, 0.

 

English Proficiency Exam for Exchange Programs (EPEEP)

English Proficiency Exam for Exchange Programs (EPEEP) for all applicants takes place after the online application period has ended. It is obligatory to take EPEE. EPEEP will be held on 24 February 2018.

 

EPEEP is valid for two consecutive years and students who have taken the exam in the previous 2 years may apply with a previous score. This needs to be indicated on the online application. However, students are allowed to take the EPEEP only once a year and those who have already taken the EPEEP for the Non-Euroepan Programs  application on 9 December 2017 will not be able to take the exam again for the Erasmus application in February.

 

The exam is organized by the Department of Basic English. Students who are not able to enter the exam due to a valid excuse should submit a petition explaining their excuse to the International Cooperations Office. Otherwise, their Erasmus application will be regarded as invalid.

 

Selection Criteria

According to the regulations of the Turkish National Agency, 50% of CGPA and 50% of the English language test score are taken into account in electing prospective Erasmus students. Besides, before calculating the 50% of the CGPA, a coefficient is applied on the CGPA according to the applicants' department and semester information as below:

Student CGPA: 3.15

 

CGPA of the related department's students in the same semester with the applicant: 2.89
Ratio: 3.15/2.89 = 1.09
25*+1.09=26.09
Overall Erasmus application score: 3.15x26.09 = 82.18

*the convergent factor to calculate 50% of the CGPA = 25

 

-  15 points will be added to the overall score of the students who are  the childrens of martyries and veterans.

-  10 points will be added to the overall score of students with disabilities.

 

To get these additional points, applicants have to submit their  official proofs until 20.02.2018 to International Cooperations Office.

 

-  10 points will be decreased from the overall score of the students for each participation of the Erasmus KA103/ Erasmus Traineeship and Erasmus KA107 in the same study cycle.

-  10 points will be decreased from overall score of the students if they withdraw from 2016/2017 Erasmus program after 10 April 2017 for the first call and 10 May 2017 for the second call .

 

Duration of the Activity

 

The traineeship cannot start before April 10, 2018; which is the date of announcement of the results. The end date can not be later than May 31, 2018 which is the end day of the project.

 

The duration of the activity is between 2 and 12 months, valid separately for each degree level. The traineeship period cannot be less than 2 months (60 days). 

 

Since 2014/15 academic year, students can participate in the Erasmus program more than once. The same student may receive grants for mobility periods totaling up to 12 months per each cycle of study (UG, MS, PhD), independently from the number and type of mobility activities. This means the duration of Erasmus grants for Erasmus traineeship mobility and Erasmus student mobility and in a specific cycle of study for a student can be maximum 12 months.

In case of budget limitations, it is also possible to participate the program without receiving any grant. Those applicants who would like to participate in the program without grant need to make application and their applications need to be evaluated as the others. Those participants with zero grant have to fulfill rights and obligations of the program.

 

Students who would like to withdraw from the Erasmus traineeship program should inform ICO about withdrawal decision latest by April 16, 2018. Please bear in mind that students who withdraw from the program after April 16, except for the force- majeure cases, will lose 10 points their future Erasmus applications at the same study cycle (academic level).

Students may be required to obtain a visa for the traineeship period. Please keep in mind that visa procedures may take a long time and students may have to pay fees for visa application (fee amounts vary). Please consult with the embassy of the related country.

 

Important Notice for studenst who carry their traineeship in UK:

 

To be able to apply for UK visa, students must get CoS ( Certificate of Sponsorship) from British Council. However, getting this number takes a long period time so the students who are planning to go UK should this issue into consideration.
