1.0. Main and Reserved List

 

The main and reserved list for Erasmus+ KA171 (Non-European Countries) Staff Mobility for Teaching Assignments application results can be found in this link and E-Devlet Career Gate Platform (https://turnaportal.ua.gov.tr/giris?returnUrl=%2F). You can enter to the system by using your E-Devlet password.

Due to budgetary limitations, all selected candidates have been approved for a 7-day teaching mobility (not longer), comprising 5 days of teaching activities and 2 days allocated for travel.

 

In case of withdrawal from the main candidates or if additional grant is allocated to our university after the interim report, the quota will be made available to the candidates on the reserve list, based on their score order, and information will be provided to the relevant participant by the International Cooperation Office.

 

​Please bear in mind that there will be reduction in the overall point of the granted participants for their next Erasmus+ KA171 applications. If the participants do not conduct their mobility yet, the reduction will be still applied because of being selected and granted in this call. 

 

 

2.0. Selection Criteria:

 

Applicants may visit this link in order to learn more about the application criteria used in the Erasmus+ KA171 (Non-European Countries) Staff Mobility for Teaching Assignments.

 

Applicants’ information on METU years of service, the number of international projects and Q1/Q2 publications and the latest diploma were received from the relevant responsible departments and units of METU on 4-5.11.2024. Due to the score provided for Master's and Doctorate degrees (only for departments reporting to the Office of the President), the information obtained from the Personnel Department was compared with the diploma documents uploaded by the candidates to the application portal.

 

As stated in the application announcement, a preliminary acceptance letter is required for each institution applied to. For this reason, preferences that were not accompanied by a preliminary acceptance letter (acceptance letters in e-mail format are not considered valid as declared at the application call) could not be taken into consideration.

 

The previous participation status of the candidates submitted in the application form was confirmed by comparing it with the ICO participant lists. In applications for Erasmus+ KA171 Staff Mobility for Teaching, only Erasmus+ KA171 participations, which are the same activity type, are taken into account, and Erasmus+ KA131 activity participations are not included in the score calculation.

 

 

3.0. Withdrawal

 

Participants who would like to withdraw from the program need to inform ICO until 20 December 2024. We would like to remind you that participants who inform ICO after the deadline will need to be subjected to 10-point deduction during the next application calls.

 

The participants who are waiting in the reserved list will not receive point deduction for their future application’s overall score. If a granted main participant withdraws from the programme, the first participant in the waiting list will be selected and notified by ICO. They will have 1 month to notify ICO if they would like to withdraw from the program. Otherwise, there will be 10-point deduction for their future application’s overall score as well.

 

 

4.0. Duration of the Activities:

 

According to Erasmus+ KA171 program rules, duration of teaching mobility must be minimum 5 working days (consecutive) excluding travel time.

 

The teaching activity has to comprise a minimum of 8 hours for every 5 working days. For activities that will last more than 5 consecutive days, the minimum teaching hour must be calculated in proportion to the minimum requirement (e.g., 16 hours for 10 working days, 24 hours for 15 working days). If the teaching activity/teaching hours last less than the minimum requirements, the activity is considered as void by the funding body and the grant payment will not be made for the related activity.

The activity must take place until 15 September, 2025, which is the next application period.

 

5.0. Required Documents:

 

Before the Mobility:

 

¨  Official Invitation Letter (signed and stamped by the receiving institution and printed on a letterhead)

¨  Erasmus+ HE Staff Mobility agreement – teaching form (confirmed by all required parties; the signature of Erasmus+ institutional coordinator will be received by ICO advisor

¨  Euro Account at Vakıfbank METU Branch

¨  Erasmus+ Staff Mobility Grant Agreement (filled and signed with the help of ICO advisor)

¨  Health Insurance

¨  Electronic Copy of Plane Ticket

¨  Visa Document (if necessary)

 

After the Mobility:

 

¨  Certificate of Attendance (original document confirmed by the receiving institution)

¨  Boarding passes (for round trip)

¨  EU Survey (to be sent by ICO advisor)

 

6.0. Erasmus+ Grants:

 

6.1. Daily Grant Amounts

 

Daily Grant: 180 € for all countries (for mobility periods exceeding 14 days, daily grant is 126 €)

Daily grant is allowed for teaching days and travel days up to 2 days.

 

Even if the travel days exceed 2 days, it is not possible for beneficiaries to receive daily grants for more than 2 days of travel. In order to provide Erasmus+ funding for the travel days, the travel should take place outside of the teaching days.

 

6.2. Travel Grant by Distance

 

In addition to daily grants, participants will receive a travel support as well. The travel support is a fixed amount, independent of the price of plane tickets. The travel amount is calculated by using the “Distance Calculator” below:

The distance calculator is used to determine the distance between the location where the staff is residing (Ankara) and the place of activity. The kilometers in distance calculated by the distance calculator corresponds to the round-trip and the amount does not get multiplied by two. Travel support is provided regardless of the two-way ticket cost. If the round-trip ticket fee is more than the total travel support, no additional travel support will be given; if it is less, the remaining amount will not be requested back.

 

 

 

The International Cooperation Office can provide official visa support documents for our personnel who will receive a visa, but other travel arrangements such as passports, visas and flight tickets are the responsibility of our selected personnel. ICO is not responsible for expenses incurred due to disruptions in travel arrangements.

 

Green Travel

 

A distance-based travel grant is considered green travel if staff choose sustainable means of transport in both directions (e.g. rail, sea transport, car sharing with other Erasmus+ program beneficiaries or use of buses). The grant amount is calculated according to the relevant part of the table. Whether the personnel can be considered within the scope of green travel is determined by submitting the relevant travel documents to the International Cooperation Office and evaluation by the Turkish National Agency.

 

6.3. A Sample of Grant Calculation

 

A visit to Montenegro for 1 week (5 days of teaching & 2 days of travel):

Total grant = 180*5 (mobility days) + 180*2 (travel days) + 275 (travel support) = 1535 €.

 

As stated in the grant agreements, participants selected with grants will receive 70% of their total Erasmus+ grants at the beginning of the program and the remaining 30% after the completion of the activity.

 

 

7.0. Status of Participants Without Erasmus+ Grant (“0” Grant)

 

Participants can participate in the activity without receiving a grant if they wish and have the approval of the institution/unit manager. The difference between non-grant personnel is that the personnel is not included in the budget calculations and no payment is made to them. Not receiving a grant is not a reason for staff not to be involved in the selection process. In order to benefit from the activity without a grant, an application must be made and the application must be evaluated together with other applications.

 

However, as stipulated in the guidelines of the application handbook, staff members participating in the program without a grant are considered to have utilized the program. Retroactive grants cannot be awarded for activities already completed, even if additional funding becomes available at a later stage.

Furthermore, staff members who participate in the program without a grant are not eligible to undertake an additional activity with a grant, even if they later become eligible for funding. It is imperative that each participant conducts only one activity per application period.

 

Please be noted that the activity period for staff is either fully funded or conducted entirely without financial support, referred to as a "zero grant" status. In accordance with program regulations, partial funding of the activity period is not permitted.

 

8.0. Additional Grant for Disabled Participants

 

For disabled participants, it is possible to receive additional grants to meet their specific needs. In order for the disabled staff to be given additional grants, METU ICO is required to request additional grants from the Turkish National Agency. The applications for additional grants should be made during the term of the contract, but in any case, up to 60 days before the contract end date. The Turkish National Agency will evaluate each application specifically and determine whether the additional grant can be granted, and if so, the appropriate grant amount. 9.0. Objection to Selection Results:

 

Academic staff who would like to object to the selection results can apply to ICO with a written petition within one week from the date of the announcement. The written applications will be evaluated by the University Exchange Programs Commission.
